Job Description
This is a hands-on execution role for someone who thrives on logistics, sweats the details, and takes pride in running programs that go off without a hitch. You'll work closely with our Senior Events Manager to support a portfolio of 40+ in-person and virtual events annually, plus a recurring webinar program running 4–5 webinars per month. You'll own the operational layer — from vendor coordination and registration setup to day-of logistics and post-event data capture — freeing up senior team members to focus on strategy and pipeline.
What You'll Do
Event Logistics & Vendor Coordination
- Coordinate vendor relationships including venues, AV, catering, signage, shipping, and other event suppliers
- Manage event timelines, run-of-show documents, and logistics checklists to ensure smooth execution
- Handle pre-event setup coordination and serve as an operational point of contact on event day
- Support post-event breakdown, vendor reconciliation, and budget tracking
Registration & Attendee Management
- Build and manage event registration pages and attendee communications
- Track registrations, monitor attendance trends, and manage waitlists as needed
- Coordinate attendee communications including confirmation emails, reminders, and post-event follow-up
Webinar Logistics
- Own the operational setup of 4–5 webinars per month in ON24, including loading content, configuring registration, and managing run-of-show
- Coordinate with internal stakeholders to collect webinar assets by established deadlines
- Monitor webinar execution and troubleshoot technical issues in real time
Post-Event Data Capture & Reporting
- Ensure lead and attendee data is accurately captured and routed into HubSpot following each event and webinar
- Support post-event reporting including attendance, engagement metrics, and pipeline contribution
- Maintain clean, up-to-date records across event and contact data in HubSpot
Qualifications
- 2–4 years of experience in event coordination, marketing operations, or a related field
- Proven ability to manage multiple events simultaneously without dropping details
- Hands-on HubSpot experience required — comfortable with contact management, list uploads, and basic workflow logic
- Experience with ON24 or comparable webinar platforms a strong plus
- Strong communicator who can coordinate across vendors, internal stakeholders, and senior leadership without constant direction
- Highly organized and process-driven; you build checklists, maintain timelines, and flag issues early
- Comfortable in a fast-moving environment where priorities can shift quickly
- Available during core Eastern Time business hours
